Terms and Conditions for Meadows and Minds
1. Acceptance of Terms
By accessing or using the Meadows and Minds website and services, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our website or services.
2. Services Provided
Meadows and Minds provides mental health wellbeing and Trauma Informed support services for children and young people through animal, woodland-based and outdoor activities. Specific services are detailed on the Our Programs page.
3. Registration and Participation
Registration for programs is required and subject to availability. A Client Information Form:
Must be completed and submitted before the first session. Additional Client Information:
Any extra information (EHCP, SEN, Risk Assessments, etc.) must be sent as soon as possible after submitting the client form. Meadows and Minds reserves the right to refuse service to any individual or group.
4. Fees and Payment
Pricing information for sessions is available in our information pack and can be requested via email. Payment terms are outlined in the registration process.
5. session Agreement.
Once a day and time are agreed upon, if the client misses the first two sessions, it is assumed they no longer require the space.
Sessions remain booked until formally cancelled by the client or representative
Session Days and Times:
Sessions run Monday to Thursday, 9.30 AM – 4 PM.
6. Safety
The safety and well-being of the children and young people are our top priority. All necessary training and certificates are held by Meadows and Minds.
7.Public access
Meadows and Minds site includes public footpaths that traverse the Meadows and Minds property and also pass through the wider farm site. While these paths are accessible to the public, Meadows and Minds ensures that robust safety measures are in place to protect it’s clients.
Clients are always supervised while on-site to ensure their safety. Public footpath users are restricted to designated areas and are not permitted to interact with clients.
Meadows and Minds monitor the vicinity of public access routes and respond promptly to any concerns.
Should public users of the footpaths pass through an area during a session, they will be courteously informed by Meadows and Minds staff that a private session is in progress. They will also be reminded of site protocols to ensure they do not interrupt activities, fostering mutual respect and safety for everyone involved.
8. Liability
Meadows and Minds strives to provide a safe environment. However, participation in our programs involves inherent risks. By registering, you acknowledge and accept these risks. Meadows and Minds is not liable for any injuries or damages arising from participation in our programs, unless caused by our negligence.
9. Confidentiality
We are committed to maintaining the confidentiality of all personal information. Our privacy policy, available on the Privacy Policy page, outlines our commitment to protecting your data.
10. Lateness:
Sessions finish at the scheduled time, regardless of late arrivals, and are fully charged.
11. Unable to Attend:
Notify as early as possible if a session needs to be cancelled. Cancellations by clients are still charged.
12. Permanent Cancellation:
Requires 4 weeks’ written notice. Sessions within the notice period are still charged even if not attended.
13. Session Adjustments:
Sessions may be cut short without cost reduction due to extreme dysregulation, fatigue, aggression with the animals or non-engagement, but only as a last resort.
14. Meadows and Minds Cancellation:
If Meadows and Minds cancels a session, there will be no charge. Efforts will be made to give notice, but unforeseen circumstances may occur. It may be possible to rearrange your session, but this is not guarenteed.
15. Holidays:
Clients must notify Meadows and Minds of upcoming holidays. The site is closed for 2 weeks in August, 2 weeks during Christmas and 1 week at Easter, specific dates will be provided at least 4 weeks prior to the holiday dates.
16. Tidying Up:
Clients will assist in tidying up at the end of each session (last 5-10 minutes).
17. Written Reports:
Brief notes are kept on sessions, and reports can be requested after 6 sessions. Reports will be issued at the end of each term, if required.
18. Home Visits:
One-off initial home visits are available for anxious clients, charged as a session plus travel costs.
19. Dogs:
Occasionally, working dogs may be seen. Clients should not pet these dogs. There are 2 pet dogs that may be used during sessions if applicable.
20. Data Protection (UK GDPR):
Meadows and Minds is registered with the ICO and handles all personal data in compliance with the Data Protection Act 2018 and UK GDPR.
Personal information is only shared with third parties when legally required.

21. Modifications to Terms
Meadows and Minds reserves the right to modify these Terms and Conditions at any time. Updated terms will be posted on this page
